Step-by-step walkthrough for field & technical staff to upload monthly EMIS data

A short orientation for field & technical staff on the monthly EMIS upload. Follow the step-by-step guide below for the full process, then review flags on the Validation page.

The golden rule

Always fix errors in the source Excel and re-upload — never patch data manually in the dashboard. This keeps a clean audit trail and ensures the database matches the official record.

Prepare your monthly EMIS Excel

Use the standard EMIS form with all 7 sheets (A–G). Ensure each sheet has a section code in its name or header so the parser can identify it.

  • One row per school per section
  • Fill the school name on every row
  • Use numeric values only for counts (no text in number cells)

Upload the file

Go to Upload Excel, drag your file in, and click Process. The system validates format and size before queuing it.

Auto-detect sections

If your file structure is non-standard, run Auto-Detect so the AI identifies each sheet's section (A–G) and confidence score.

Structure the data

Structure Data maps your Excel columns to EmisData fields and triggers the import. Review the preview before processing.

Review validation flags

Validation shows real issues found in the imported records — missing school names, negative values, duplicates, and dropouts exceeding enrollment.

Fix in source Excel & re-upload

Do not edit data inside the app. Correct the flagged rows in your original Excel file, then re-upload. Re-run validation until the error count is zero.

Common mistakes to avoid
Leaving the school name blank on any row
Mixing text into numeric count columns
Uploading the same month twice (creates duplicate rows)
Reporting dropouts greater than total enrollment
Renaming sheets so the parser can't detect the section
Editing records inside the app instead of the source Excel
